Privacy Policy

This policy explains what information we hold, why we hold it, who can see it, and what you can ask us to do with it. It applies to everyone who signs in: students, parents and guardians, advisors, and staff.

1Who we are

Ignite Pathways is a private software platform operated by Leaders in Training, a Nevada 501(c)(3) nonprofit corporation located at 900 N. Lamb Blvd., Suite 130, Las Vegas, NV 89110. We use it to run our leadership development and college-readiness program — keeping student records, tracking attendance, and supporting the advising relationship between staff and students.

Ignite Pathways is not open to the public. Accounts are created by LIT staff. There is no way to register on your own, and nothing about a student is visible to anyone without an account.

2What this policy covers

This policy covers information held inside the Ignite Pathways platform at ignitepathways.io. It does not cover LIT's other systems, our public website, our social media, information you give us on paper, or anything you share with staff outside the platform. Those are governed by LIT's general privacy practices.

3Information we hold

About students

  • Identity and contact: legal name, preferred name, date of birth, email address, phone number, and a permanent student identifier we assign.
  • Enrollment: cohort, grade level, high school, expected graduation year, enrollment status and dates, and assigned advisor.
  • Demographic information: gender, race and ethnicity, first-generation status, free or reduced lunch eligibility, household income range, and ZIP code. This is held separately from the rest of the record and is restricted to fewer people. We collect it because funders require it and because it tells us whether we are reaching the students we exist to serve.
  • Participation: attendance at sessions, retreats, workshops, and volunteer events, including any note a staff member adds explaining an absence.
  • Advising records: notes a staff member writes after speaking with a student — what was discussed, what the student said they would do, and observations about how the student is doing.
  • Other program involvement: clubs, programs, and organizations a student takes part in outside LIT.
  • Documents: files uploaded by a student, a family member, or staff, and completed forms including electronic signatures.

About households

  • Guardian names and their relationship to the student, phone numbers, email addresses, mailing address, emergency contact details, preferred language, and which students belong to the household.

About staff and advisors

  • Name, work email, phone number, job title, role and permissions, and dates of service.

Created automatically

  • Sign-in times, IP address, and browser or device type, kept for security purposes.
  • An audit record of changes made to student and household records — what changed, who changed it, and when.

4Where the information comes from

  • From students and families, at enrollment and whenever you update your own record.
  • From LIT staff, recording attendance, advising conversations, and program participation.
  • From documents you choose to upload.

We do not buy information about you, and we do not collect it from data brokers, advertising networks, or social media.

5Why we hold it

  • To run the program — knowing who is enrolled, who attended, and who is responsible for each student.
  • To support students, so an advisor can see the history of a relationship rather than starting fresh each time.
  • To reach families, including in an emergency.
  • To report to funders on who we serve and how the program is going. Funder reporting uses aggregate figures, not individual records, unless a grant specifically requires otherwise and we have told you.
  • To improve the program by understanding patterns across cohorts and years.
  • To meet legal, tax, audit, and grant obligations.
  • To keep the platform secure and investigate misuse.

6Consent

Because our students are under 18, we obtain written consent from a parent or guardian when a student enrolls in the program. That consent covers the information described in this policy. A student aged 18 or older may give consent on their own behalf.

You may withdraw consent at any time by contacting us. Withdrawing consent may mean a student can no longer take part in the program, because we cannot run it without knowing who is attending and how to reach their family in an emergency. We will tell you clearly if that is the case before anything changes.

7Who can see what

Access is decided by the database according to the account you hold, not by which buttons appear on the screen.

StudentsTheir own record only — their profile, their attendance, and their upcoming events. A student cannot see another student.
FamiliesOnly the students linked to their household, and their own household record. A family cannot see another family or another student.
AdvisorsStudents assigned to them, and the advising notes for those students. Advisors do not see the full roster.
AdministratorsAll student and household records, events, attendance, settings, and the audit log. Administrator access is limited to a small number of designated staff.

Advising notes marked staff-only are visible only to staff. They are not shown to students or to family accounts. Staff use this when a student has spoken in confidence and sharing the note would make them less willing to speak honestly.

Important limit on confidentiality: a staff-only note is not legally privileged. If we are required by law to disclose it — for example under a court order or a mandatory reporting obligation — we will comply. Staff are mandatory reporters and will act on any information suggesting a child is at risk of harm, regardless of how it was recorded.

8When we share information

We share personal information outside LIT only in these situations:

  • Service providers who operate parts of the platform on our behalf — hosting, database, and email delivery. They may use the information only to provide that service to us, and may not use it for their own purposes.
  • When the law requires it, including a valid court order, subpoena, or mandatory reporting obligation.
  • To protect someone's safety in an emergency involving a risk of serious harm.
  • With your permission, when you have specifically asked us to share something — for example, sending a recommendation or verification to a college or scholarship program.
  • Auditors and funders, in aggregate. Where a grant agreement requires individual-level data, we will say so at enrollment.

What we never do

  • We never sell personal information. Not to anyone, for any price, in any form.
  • We never rent, trade, or share it for advertising or marketing by anyone else.
  • We never display advertising in the platform.
  • We do not use student information to train artificial intelligence or machine learning models, and we do not permit our service providers to do so.
  • We do not create profiles for commercial purposes or make automated decisions about a student without a person involved.

9Cookies and tracking

Ignite Pathways uses only the cookies required to keep you signed in and to keep the platform secure. We do not use advertising cookies, marketing pixels, or third-party analytics that track you across other websites.

10Students under 18

  • A parent or guardian consents before a student's record is created.
  • Parents and guardians may see their student's record, ask for a copy, and ask us to correct anything wrong.
  • We collect only what the program actually needs.
  • We do not market to students and we do not allow anyone else to.
  • Students may update their own contact details, but cannot change their enrollment record, attendance, or advising notes.

Our program serves students in grades nine through twelve, who are generally 14 or older. We do not knowingly create accounts for children under 13. If we learn that we hold information about a child under 13 without the consent that federal law requires, we will delete it promptly.

11Education records

Leaders in Training is a community nonprofit, not a school, and does not receive funding from the U.S. Department of Education for these purposes. The Family Educational Rights and Privacy Act generally applies to schools rather than to organizations like ours.

Where a student or family gives us school information directly — a report card, a transcript, a test score — we hold it under this policy. If we ever receive records directly from a school district under an agreement, we will follow the terms of that agreement and update this policy.

12Your rights

You may ask us to:

  • Show you what we hold. Students and families can see most of it by signing in. You may also ask for a complete copy.
  • Correct something. If a record about you or your student is wrong, tell us and we will fix it. Some fields you can edit yourself; for others, submit a change request through the platform and staff will review it.
  • Give you a copy in a file you can keep.
  • Delete a record. You may ask us to delete a student's record. We will do so unless we are required to keep it — for grant audit, tax, or legal reasons. We will tell you which parts we must keep, why, and for how long.
  • Stop contacting you by email. We will still send messages necessary to run the program safely, such as an emergency notice.

To make any of these requests, email admin@litlv.org or speak to your program advisor. We will respond within 30 days. There is no charge. We will not treat you differently for asking.

Nevada residents have the right to direct certain businesses not to sell their personal information. We do not sell personal information at all, so there is nothing to opt out of — but you are welcome to submit a request to admin@litlv.org and we will confirm that in writing.

13Keeping information accurate

A record about a student can affect how we support them, so accuracy matters. Families and students can update contact details directly. Changes to enrollment information go through a request that staff review. Every change is recorded with who made it and when, so a mistake can be traced and corrected rather than argued about.

Where a grant agreement requires a longer period, that period applies. After a retention period ends, we either delete the record or strip everything identifying from it and keep only anonymous counts, which cannot be traced back to any individual.

15How we protect information

  • Information is encrypted while travelling to and from the platform and while stored.
  • Passwords are stored in a form that cannot be read or reversed, including by us. Nobody at LIT can see your password.
  • What each account can reach is enforced by the database itself, so hiding a screen is never the only thing standing between an account and a record.
  • Access follows least privilege: people see what their role requires and no more.
  • Every change to a record is logged with the person who made it.
  • Records are archived rather than destroyed, so nothing is lost through an accidental deletion.
  • The system is backed up daily and restoration is tested.

No system is perfectly secure, and we will not claim otherwise. What we can say is that we designed this one around the fact that it holds information about young people.

16If there is a data breach

If personal information is exposed to someone who should not have it, we will investigate immediately and notify the people affected as quickly as we reasonably can, consistent with Nevada law (NRS 603A). For a student under 18, we will notify the parent or guardian.

Our notice will describe what happened, when, what information was involved, what we have done about it, and what you can do. If the incident involves the kind of information that creates a risk of identity theft, we will also tell you how to place a fraud alert or a security freeze on a credit file, and we will provide identity theft protection services where the law requires it. We will notify the Nevada Attorney General and any other authority as required.

17Where information is stored

Ignite Pathways is hosted in the United States. Our service providers may process information in other countries in the course of operating their services; where they do, they are contractually required to protect it to the standard described in this policy.

18Changes to this policy

If we change this policy in a way that meaningfully affects how we handle personal information, we will post the updated version here, change the date at the top, and notify account holders by email before it takes effect. Where the law requires fresh consent, we will ask for it rather than assume it.

19Questions and complaints

Questions, requests, or concerns about privacy go to admin@litlv.org. If you are not satisfied with our response, you may contact the Nevada Attorney General's Bureau of Consumer Protection.
